Thank You Letters

Thanking our donors

Congratulations! You’ve been awarded a scholarship from JCC! Now it’s time to say “thank you." Many scholarships available at JCC are made possible by contributions from generous donors (alumni, friends, companies, and foundations) who, through an investment in your future, have expressed their belief in the importance of a college education. Sending a well-written, thoughtful thank you note shows the donor that you are the kind of student they can be proud to support.

As the recipient of a scholarship at Jamestown Community College, you are required to write a thank you letter to the donor who has funded your scholarship. If you've received more than one scholarship, you must write a thank you letter for each scholarship that you receive. Remember, your scholarship money will not be put in your account until your letter has been written and received by the Financial Aid Office

The Art of Saying "Thank You"

Saying "thank you" in the right way can sometimes be very difficult. Please review the following as you prepare to write your own letter.

General Guidelines
  1. Realize the person that you are thanking knows nothing about you.
  2. Be personable. Tell them about yourself. Include information such as:
    • Where you are from – either the town or high school you graduated from;
    • What you will be studying at JCC;
    • What you are involved in both on- and off-campus;
    • Describe your educational and career plans;
    • Explain what it means to you to have received this scholarship; or
    • Explan why you chose JCC.
Formatting Guidelines

Please use the following guidelines to craft your letter.

  • Date – The date the letter was written. The date should be spelled out: use June 15, 2016, not 6/15/2016.
  • Salutation – You can use something like Dear Friend of JCC ... Dear USA Benefactors ... Dear Scholarship Donor ... or Dear (Scholarship Name) Benefactors. DO NOT use a generic salutation, such as "To Whom It May Concern" or "Dear Sir or Madam." All scholarships are funded by gifts from specific donors who should be addressed accordingly.
  • First Paragraph – Thank the donor for the specific scholarship you received. DO NOT include the monetary amount of your scholarship.
  • Second Paragraph – Restate your commitment to your academic goals. Mention any interests or circumstances that will help the donor understand why the award is so important to you. Make this brief; a few sentences.
  • Third Paragraph – Thank the donor again for giving you financial support.
  • Closing – Use “Sincerely” or “Respectfully” to end the letter.
  • Signature – Leave a couple of blank lines so that you can sign the letter by hand, then type your full name.
  • Address – Include your home address beneath your printed name.
Style Guidelines
  • DO NOT write your thank-you letter on lined notebook paper.
  • Letters should be typed in proper letter format using font size 11 or 12. Letters may also be legibly written by hand on good quality paper or notecard.
  • Keep it short and simple. One page is usually enough.
  • DO NOT use the following salutations: Dear Financial Aid Office, Dear JCC Foundation, or Dear JCC. And again, DO NOT use a generic salutation, such as "To Whom It May Concern" or "Dear Sir or Madam." All scholarships are funded by specific donors, not the college or the college's foundation. Donors should be properly addressed.
  • Again, DO NOT include the monetary amount of your scholarship.
  • Be sure to include the specific name of the scholarship you've received. The Financial Aid Office can assist you.
  • Don't forget to proofread your letter! After we receive your letter, we will forward it to the donor. Check your letter carefully for errors in grammar or spelling.
